(why we collect your personal data and what we do with it)

When you supply personal details to Grace Church they are stored and processed for 4 reasons (terms in bold are relevant to the Data Protection Act 2018 and GDPR)

  1. We need to collect personal information about you in order to provide you with the most appropriate level of contact. Your request for information, course details or information about Grace Church and it’s wider activities constitutes a contract. You can do not have to to provide information, but if you don’t we will not be able to provide you with the necessary information.
  2. We have a ‘legitimate interest’ in collecting this information, as without it we couldn’t function effectively and safely.
  3. We also think it is important that we can contact you in order to remind you  or update you on matters related to Grace church and it’s wider activities. This constitutes YOUR ‘legitimate interest’
  4. Provided we have your consent we may occasionally send you general information in the form or articles or newsletters. You may withdraw consent to these at any time by clicking on the ‘unsubscribe’ link in the email.

We have a legal obligation to retain your records for 8 years after your most recent contact with use, after this period you may ask us to delete your records if you wish. If you don’t request we may retain your records beyond that point so that we may provide you with the best possible service should you wish to engage with us in future.

Our records are stored on either of both:

  1. On paper in locked filing cabinets in buildings.
  2. Electronically on MailChimp and Eventbrite databases or in a secure spreadsheet which is stored in Google drive cloud based folder.  All of these are GDPR compliant.

We will never share your data to other companies or organisation for marketing purposes

Only the following people will have routine access to your data

  • Administrators for the purpose of contacting you in relation to relevant meetings, events and activities.
  • Church leaders who are directly involved with meetings, events and activities
  • We use MailChimp to coordinate our messages and Newsletters and save our database including those whom have ‘unsubscribed’ to newsletters.
  • We use Eventbrite to book our events which maintains a database of delegates for course and events and this is integrated into an associated database on MailChimp.

You have the right to see what personal data of yours we hold, and can request that we correct any factual errors.

We want you to be absolutely confident that we are treating your personal data responsibly and that we are doing everything we can to make sure that the only people that access your data have a genuine need to do so.

If you feel we are mishandling your data in any way, you may complain to the Data Controller directly
